Getting started

acords.ai allows you to fill ACORD forms online manually, or extract data from uploaded documents to fill ACORD forms. Here's how it works, step by step.

Pro tip — reuse a prior-year ACORD form. Many agents upload a previously completed ACORD application (even a printed, signed, and scanned copy) as the source. The AI carries over the existing data and you only fill in what changed for the new term. Since the most common ACORD business applications can have over 1,000 data-entry fields, this dramatically cuts down on time and reduces errors-and-omissions exposure by starting from an accurate baseline. Always proof-read your ACORD forms for accuracy.

  1. 1. Upload your source documents

Drag and drop your source materials into the Upload Source zone. This can be current insurance policies, renewal documents, or previously completed ACORD forms — including a prior-year application you printed out and scanned back in. Accepted formats are PDF, JPG, PNG, and plain text. You can mix several files at once and the AI reads them all together.

  2. 2. Choose a destination form

Under Select Destination, choose a tab, then pick the form you want to fill from the dropdown. The workbench loads the fillable template automatically. The ACORD Forms tab lists the standard ACORD library. The Other Forms tab lists the built-in Invoice, Receipt and Contact forms, plus any fillable PDFs your workspace has imported, such as insurance company applications. To add one, click Import Other Destination Form below the dropdown and upload a fillable PDF; it becomes available to everyone in your workspace. Use Reorder or rename imported forms to change their order and names.

  3. 3. Describe what to fill

Type a plain-English prompt telling the AI how to map the policy data onto the form. You can also use voice dictation by tapping the microphone icon. Then click Fill Form with AI. To skip retyping your agency details, click My Producer Info above the AI Prompt: the first time, enter your producer and contact details (saved to your own profile, so each broker on your team keeps their own). After that, one click adds them to the prompt. To change your saved details later, click the small pen icon just to the RIGHT of My Producer Info.

  4. 4. Merge Holders (optional)

For certificate-type forms, use Merge Holders to generate one filled certificate per holder from a spreadsheet.

  5. 5. Request Missing Info (applications)

On application forms (ACORD 80, 82, 83, 84, 125, 126, 130, 131, 140, 160), click Request Missing Info. The app finds the empty fields, groups them by section, and lets you check the sections you need the insured to complete. Click Write Email and the AI drafts friendly, plain-English questions. Edit as needed, click Copy Email, and send it from your own email. When the insured replies, paste their reply into the AI Prompt and click Fill Form with AI.

  6. 6. Review, sign & save

The filled form appears as a fillable PDF in the viewer so you can review the AI's work, edit fields, zoom and print from the toolbar. Add an Authorized Representative signature by typing, drawing or uploading an image; it is saved and applied to all your forms that have a signature field. Click Save to list to store the form, or Cancel to return without saving. Click New Record to save the current form and start a fresh blank one. AI fills are unlimited with your subscription.

  7. 7. Manage your saved forms

The Saved Forms list shows every form saved by you and your company team, with the form, insured name, description, form date and creator initials. Hover over a date to see when it was last edited. Search (including by creator initials), sort by any column, or Show All. Click a row to open it. Use Prior and Next to step through records. The three-dot Form Actions menu on each row offers: Edit Form (open it in the workbench to make changes); Edit Name and Description (change the insured name and description shown in the list); View Flattened (a read-only PDF preview); Omit Record (hide the row from the list you're looking at now without deleting it; it comes back when you reload); Duplicate (copy it as a new saved record); Fill to another form (copy the matching fields into a different destination form); Download (save the PDF in the format you choose); Import (bring in a PDF of filled forms, each saved as its own record); Print List (print the list itself); Print Checked (print the forms you checked); Combine Checked (merge the checked forms into one PDF in the order you pick); Delete Checked (delete every checked record); and Delete Record (delete just this record). Deleted records move to Archived, where you can restore them. ACORD 25 certificates also have a link icon next to the menu that creates a self-service link so holders can issue their own certificates.

  8. 8. Import, print & combine

Import, Print List, Print Checked and Combine Checked are all in the Form Actions menu. Use Import to bring in a PDF holding one or more filled ACORD forms; each becomes its own saved record. To build a multi-form package (for example an ACORD 125 with an ACORD 101 for overflow remarks), check the records and choose Combine Checked; they are merged into one PDF in the order you pick.
